Office Assistant

About the Role

This full-time Office Assistant position will provide administrative assistance to the Director of Operations and the Office/Accounting Manager. Eligible for remote work two days a week after 1-year.

Skills required include:

  • Excellent attention to detail
  • Effective time management skills, and the ability to successfully handle multiple tasks under strict deadlines
  • Ability to work independently with minimal supervision
  • Good written and verbal communication skills
  • Proficiency in Word, Outlook, and Excel
  • Assisting with file organization management
  • A positive attitude, as well as the desire to be a support team member
  • Capable of maintaining complete confidentiality
  • A proactive mindset and positive attitude are essential

Responsibilities include, but not limited to:

  • Order and inventory office supplies
  • Assist with social media marketing
  • File Retention: offsite and onsite storage (Create Organization system/scan hardcopies)
  • Enter credit card charges into the firm accounting system
  • Vendor account reconciliation
  • Oversee the firm’s small library subscriptions
  • Prepare and mail out department packets
  • Sort, Scan and Email incoming department mail
  • File necessary department mail and oversee file retention  

Education/Experience

  • Bachelor’s degree required
  • 2+ years of professional office experience
  • Knowledge of accounting and legal billing is desirable
